Acceptable Use Policy
Staffholm and Rolefit are brands of Sirin OÜ, a company registered in Estonia (registry code 16315993). Staffholm is the service employers use, and Rolefit is the name candidates see when they apply. Wherever this document says “Staffholm”, “Rolefit”, “we” or “us”, it means Sirin OÜ.
Why this exists
The service ranks people against jobs. Used badly it could help somebody discriminate faster and more consistently than they could alone, and leave a record that looks objective. This document is the line, and we would rather lose a customer than be that tool.
You must not
Discriminate. Do not configure adverts, requirements or weights to select or exclude on the basis of age, sex, gender identity, race, ethnicity, nationality, religion, disability, sexual orientation, pregnancy or family status, or trade union membership. Requirements must be genuine and relevant to doing the job.
Remove the human. Do not use the ranking as an automatic filter. A person must read and decide. Bulk-rejecting by score, without review, is exactly the automated decision-making that Article 22 restricts and the EU AI Act treats as high risk — and the obligations land on you.
Upload data you have no right to. Only process applications from people who applied to you, or who agreed to be considered.
Repurpose it. Do not use the service to screen anybody who is not a candidate for a role you have open — not employees, not suppliers, not customers.
Attack or abuse it. No probing, scraping, reverse engineering, circumventing limits, or automated submission of applications.
Split one company over several accounts. One company has one Free plan and one trial. Opening accounts under other names, numbers or addresses to stay within the free limits is circumventing them.
Resell it. No offering the service to third parties as your own without a written agreement.
Where the line is not obvious
Some requirements look like protected characteristics and are lawful because the job genuinely needs them — a language at a stated level, a driving licence, a legal right to work, a professional registration. Others look neutral and discriminate in effect: "no career gaps", "recent graduate", "digital native".
If you are unsure, ask whether you could defend the requirement to somebody who was excluded by it. That is the test a tribunal applies too.
What we do about it
If we believe an account is breaching this policy we will normally raise it first. Where the breach is serious, ongoing, or exposes candidates to harm we may suspend the account immediately.
We do not read your candidates' applications to police this. What we can see is configuration — adverts, requirements, weights, and decision patterns — and those are what we would act on.
